Who we are

BH Norton & Son Ltd is the organisation responsible for the personal information described in this notice. We are a family-run building company serving Horsham and surrounding RH12 and RH13 areas.

Questions about this notice or the way we use your information can be sent to steve@bhnortonandson.co.uk or raised by calling 01403 240535.

What we collect

When you contact us through the enquiry form, by email or by telephone, we may collect:

  • your name, telephone number and email address;
  • your postcode and information about the property;
  • the type of work you are considering and the details you provide;
  • photographs, drawings, reports or other files you choose to send; and
  • our correspondence with you, including information needed to prepare an estimate or plan work.

Our website hosting and security provider processes limited technical information when the website is used. This can include an IP address, browser and device information, request details and signals needed to protect the enquiry form from abuse.

We normally receive personal information directly from you. If somebody enquires on your behalf, we may receive it from that person instead.

Why we use your information

We use personal information to:

  • respond to your enquiry and discuss the proposed work;
  • understand the property, assess whether we can help and prepare an estimate;
  • plan, manage and keep records of work you ask us to carry out;
  • send an acknowledgement when you provide an email address;
  • keep the website and enquiry form secure and prevent spam or misuse; and
  • meet legal, regulatory, accounting or insurance requirements.

Lawful bases

Where you ask us to consider or carry out work, we use your information to take steps at your request before entering into a contract and, if you appoint us, to perform that contract.

We also rely on our legitimate interests in answering enquiries, keeping appropriate business correspondence, protecting the website and running the company responsibly. Where the law requires us to retain or disclose information, we process it to comply with that legal obligation.

You do not have to provide personal information, but we cannot assess or respond to an enquiry without enough information to understand the work and contact you.

Who we share information with

We only share information where it is needed for the purposes described above. Recipients may include:

  • providers of website hosting, security, anti-spam checks, email transmission and aggregated traffic and performance information;
  • our email, IT and file-storage providers;
  • tradespeople, subcontractors or professional advisers involved in assessing, planning or carrying out the work, where appropriate; and
  • insurers, accountants, legal advisers, regulators or public authorities where there is a proper reason or legal requirement.

We do not sell personal information and we do not add website enquirers to a marketing list.

International transfers

Some service providers may process information outside the UK. Where this happens, we use providers that apply an appropriate UK transfer safeguard, such as processing in a country covered by UK adequacy regulations or contractual protections approved for international transfers. Contact us if you would like more information about the safeguards relevant to your information.

How long we keep information

If an enquiry does not become a project, we keep the enquiry, correspondence and attachments for no more than 12 months after our last contact. Spam and information that has no business purpose may be deleted sooner.

If you appoint us, relevant correspondence becomes part of the customer and project record. We keep those records only for as long as they are needed to manage the work and meet contractual, accounting, insurance and legal obligations. When information is no longer required, it is deleted or securely disposed of.

Cookies and analytics

We do not use advertising trackers or analytics cookies. We receive aggregated information about website traffic, performance and security without receiving a profile of an individual visitor.

Our hosting and security services may use strictly necessary cookies or similar technology to deliver and protect the website. These are used for security and service operation, not advertising. If we introduce non-essential cookies or tracking in future, we will update this notice and request consent where the law requires it.

Your rights

Depending on the circumstances, you may have the right to ask for access to your personal information, correction of inaccurate information, deletion, restriction of its use or transfer of information you supplied. You may also have the right to object to particular uses of your information.

Your right to object

You can object to processing based on our legitimate interests. Tell us what you object to and why. We will stop that processing unless we have a compelling lawful reason to continue or need the information for legal claims.

To exercise a right or raise a concern, email steve@bhnortonandson.co.uk. We may need to confirm your identity before acting on a request.

If you are unhappy with our response, you can complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint or call 0303 123 1113.

Automated decisions

We do not use personal information to make solely automated decisions that have legal or similarly significant effects.
